Make Your Presentation Portable
Guess what? You’ve made it to the last lesson. Congratulations! We are almost to the finish line. The purpose of this last lesson is to show you how to save, send, and make your presentation portable.

Ways to Save and Send Your Presentation
There are a few different ways to save your presentation. While you were creating it you most likely saved it to the hard drive of your computer. However, you want your coworker to view the presentation on their computer. There are a few different ways to send the presentation to your coworker. You can save it to a disk and give them the disk to run. Or you can send the presentation by e-mail.

How to save your presentation to a disk
From the “File” menu select “Save As”, instead of just “Save”, and browse your computer for your disk drive. The disk drive is most likely your a: drive. Saving to a disk works just like it does in Microsoft Word. Except this time the file extension of your presentation is .ppt.

*Your coworker must have the Microsoft PowerPoint application on their computer in order to run your presentation. They can double click on the PowerPoint file or open it through the PowerPoint application.

How to send your presentation by e-mail
Your coworker might not be in the cubicle next to you, but in an office in another country. Therefore, you should send them your presentation by e-mail. From the “File” menu select “Send To”. You have two email options Mail Recipient and Mail Recipient(as Attachment).

If you choose just “Mail Recipient” it will send only the current slide in the body of the e-mail. If you select “Mail Recipient(as Attachment)”, it will send the entire presentation as an e-mail attachment. You will most often send the entire presentation as an attachment. When you select Mail Recipient(as Attachment) it will open up your e-mail program and attach your presentation to an e-mail which you can then address and send off to your coworker.

Saving your presentation as a web page
There will be times when you want to view your presentation or parts of your presentation directly on a website. Therefore, you need to change the format of the presentation from PowerPoint (.ppt) to a webpage (.htm). Open the “File” menu and select “Save as Web Page”. You can then preview this in a browser.

The Pack and Go Feature
Let’s say you have created a PowerPoint presentation for your new company product. You are heading out on a sales and marketing tour. You will be presenting to various companies and audiences. You do not have a laptop and therefore will need to use a different computer at each stop. In this case, PowerPoint has a “Pack & Go” feature, which compresses your presentation slides, fonts, and links so you can save it to your disk.

What if the computer at one of the companies you are presenting for does not have the Microsoft PowerPoint application? How are you going to view your presentation? The Pack & Go feature allows you to select the “PowerPoint Viewer”. This will enable you to make your presentation truly portable because now you can view the presentation on any computer.

How to use the Pack & Go wizard
From the “File” menu select “Pack & Go”. This will start the Pack & Go wizard. The wizard will ask for the presentation to be “packed”. The current presentation will appear by default, but you can browse for a different presentation.

Normally you would just keep clicking “Next” to keep all the default options. Also, make sure to select that you want to include the “PowerPoint Viewer”. (Note: The PowerPoint viewer is not included by default.)

Now your presentation is compressed to your disk and ready to hit the road.
