Lesson 6: Access 2000 (Part 1)

Sorting Records

Since records can only be added at the end of the table, you may need to rearrange the records. The Sort Ascending button on the toolbar sorts fields into alphabetical order (A – Z). The Sort Descending button sorts fields into reverse alphabetical order (Z - A).

Using Sort Ascending and Sort Descending buttons on the toolbar


To sort records by a specific field:

  • Click in a cell within in that field
  • Click on the Sort Ascending or Sort Descending button

Follow the steps above to sort ascending the table by LastName.

If you wish to sort by more than one column:

  • Move the columns so they are next to each other
  • Highlight the columns by which you want to sort
  • Click on the desired sort button
