There have been 3 attacks recently. You can protect yourself by not opening any Word files from someone you don't know.

Microsoft is aware of this problem and has issued a Security Bulletin MS06-027. A summary of the bulletin states: all customers using Microsoft Word need to be aware of this attack. It can be done remotely and can be critical. All users should go to Microsoft and download and install the update immediately.

At this time, Microsoft Word for Mac is not affected. Customers can further protect themselves by downloading and installing and using OpenOffice, a free suite of office programs similar to Microsoft, Lotus Notes and Corel. If you continue to use Microsoft Word, at least monthly, go to their web site and check for updates.

Most network IT people have set up a nightly backup for the network, but not your individual files from your computer.

There are 3 ways to find your Outlook files:

  1. The default location is C:\Documents and Settings\your name\Local Settings\Application data\Microsoft\Outlook\Outlook.pst.
  2. Right click the on the root folder (probably Outlook Today), Properties, advanced, then look at the Filename box; this is the location of your files.
  3. Click on Start, Search, Documents…, scroll down to the box and type ".pst" then click Search.

Once you know the location of the files, you can copy them the same way other files are copied. Microsoft Outlook should be backed up periodically, once per week minimum depending on how much information is added or changed. This file can be imported on other computers.

The Drawing program is included within Word, Excel and PowerPoint. This is Microsoft's basic drawing program that allows you to draw shapes, fill them with a flood of color or a picture, and arrange them in different ways. The Contacts view is a table which can be formatted by columns. You can add or delete columns according to your needs.

To change your Contacts View:

  • Click on Contacts, phone list, this is my preference but you can use any list, View, Arrange by, Current View, Customize Current View
  • Click on Fields
  • On the left side you will see Frequently-Used Fields and Available Fields
  • On the right side you will see Show these fields in this order
  • Start on the right side by deleting fields you do not need. Click on the field, then click on delete. (You are only deleting them from this view not your data base.)
  • Add other fields from the available fields, be sure to scroll to the bottom of the list to see other fields used less often.
  • Click on the field then click on Add
  • Click on OK when finished
