Continuing on from last week, this week's article looks at File commands and the kinds of things you can do here - far more than you might think!
You are likely to find the same kinds of commands in another word processor as you would in Word 2000, but as this series is about Office 2000, I shall stick to Word. Obviously, we need a way to open, close and save files and this, like always, is performed under the File menu. It is worth noting that most of the commands are contained on the toolbar too. With one important exception that I will come on to, it does not matter which you use - the menu or the toolbar. You can find the usual suspects under the File menu - File Open, File Save, Save As, Print and Properties. One major thing to be aware of with Office 2000 components is that they adopt the new Windows 2000 "If you don't use an option you don't see it" function. This means that the menus appear quite bare and consist of only those options you use regularly. Look for a downward pointing arrow at the end of menu - this will display ALL the menu options. When you do this, a whole host of further options becomes available. For example, Save As Web Page, Versions, Page Setup and Print Preview. It is worth repeating the business with the down arrows... Look for the downward pointing arrows at the bottom of a menu to view ALL the options available on the menu. The first time I ran Word in Office 2000 my 1st thought was "Where are all the commands?" You have been warned! Items worthy of note here are: · Versions. This let's you place a limited form of "version control" on your documents in that you can see the date of the edit and store each edit separately. You can add comments too. · Print Preview allows you to view your document, as it will appear on paper. You can view up to 2 by 3 pages on one screen. · Send To. Allows you the ability to "send" your document to other applications - mainly mail and fax programs (although interestingly enough, I am writing this is Word and I can send it to Power Point!) · Page Setup. There are a lot of features here. As you would expect, you can set items such as margins, odd / even pages and gutter sizes (the gaps between margins and text for example). You can also adjust shading colours and insert horizontal lines here too. If you have installed the clipart, you can get a range of horizontal lines akin to those found on web pages (which is undoubtedly why they are here), although they could jazz up a flyer quite easily!
