A Few Hints and Tips

This week's article has some hints and tips for you on using popular packages and Windows itself. I've been asked quite a few questions of late - just little things - but they can make life on your computer so much easier!

You will notice from this article that specific applications are mentioned - namely Office 97. Don't worry if you don't have Office, as it is most likely that your application will have a similar function available.

Word 97

A recent question I was asked was to get more address lines printed on an envelope. There are a couple of ways of doing this - you can either change the envelope to a "custom size" (which will give you a greater address area), or you can adjust the size of the font (reducing it).

When you select "Envelopes and Labels" from the Tools menu, select the "Options" button and you can change the font (and size) for the delivery address.

Excel 97

Ever wanted to sort a series of row in your spreadsheet? If you have then you may have found that if you highlight the column you want to sort on then "sort" then only that column "moves" and the rest of the row remains in its' previous place.

To sort, you need to highlight ALL the columns that you want to sort. That is - select the entire ROW and then sort. Note that the 1st row is regarded as a heading and won't be sorted, so if you have no headings - select one row higher and then tell the sort the column you wish to sort on.

What happens if you want to sort on more than one column? Excel will let you do this BUT there is a catch. The sort order is carried out from left to right. Let's have an example...

Suppose you have 4 columns in your "row" of data. Name, Town, Post Code and Favourite Team. You want to sort in name order but within each town, so you have Town A and the alphabetic list of people, then Town B and so on.

As the columns are, the sort will be in name order and then within town, so you would have Smith, Town A, Smith Town B and so on - not what we want. To make this sort work, we need Town to come before name BUT we want the spreadsheet to appear in the order we originally had - Name, Town, PostCode and Favourite Team.
