How to Steward an Event - Part 4an hour before the event is due to end, ask for voulinteers to help pack down. Most people are willing to help and it all helps make the work lighter. You and your team should be the last people to leave the event, and you should personally inspect the event site before leaving to ensure that all is better than it was when you arrived. Now - go home and sleep for about 12 hours. Take the money, the receipt book and the booking sheet with you. AFTER the event you will need to do the following: 1. Get receipts of everybody and change for funds that they have been given. 2. Check receipts and change and ensure that the total is the same as what was given out. If it is less, then tactfully let the person know and ask if they have more change, or another receipt (be gentle - it is easy for change to be put aside, or a receipt to come astray). If the total is more - then make sure that you reimburse them for anything they have paid for. 3. Check receipts against cash takings (take out the float first). Get it double checked, and if it does not match, talk to your troll. 4. Do up a report for your group treasurer, setting out (a) what was received from group funds (b) costs of everything - eg: hall/venue, food, prizes, etc. (c) income received (d) total profit or loss. If you do your planning well - you will not make a loss. Now - you can relax, and start to plan your next event. Running an event is hard work. It is thankless and exhausting. However, it can also be very rewarding when you hear how people enjoyed themselves.
